To cancel a reservation after the issuance of the "Notification of Permission for Residence", the "Cancellation Form" (word/pdf) must be submitted.

Cancellation Fee
(Varies by the date of cancellation)

    1. If the Cancellation Form is submitted by 17:00 on the 10th business day prior to the planned move-in date:
      --> there is no cancellation fee

    2. If the Cancellation Form is submitted in the period between 17:00 on the 10th business day prior to the planned move-in date and 17:00 on the planned move-in date (if the planned move-in date is on Saturday, Sunday or holiday, 17:00 on the next business day):
      --> a cancellation fee applies

      Single unit: 28,700 yen
      Couple unit: 50,100 yen
      Family unit: 66,000 yen

      (The amount, based on a short term stay of 8 days, is subject to change.)

    3. If the Cancellation Form is submitted after 17:00 on the planned move-in date (if the planned move-in date is on Saturday, Sunday or holiday, 17:00 on the next business day):
      --> the facility charges for the first invoice must be payed in full

      In this case, the unit will be reserved until the "Cancellation Form" (word/pdf) is submitted.
      (Will be charged for the following month unless the "Cancellation Form" is submitted before the 15th of the month prior to the next charged month.)
      *If the 15th is a Saturday, Sunday or holiday, the form must be submitted by the previous business day.

*We may contact the applicant (host researcher) for any delayed payment.

-Calculation of 10 business days:-
Count back from the last weekday before planned move-in date. Excluding holidays, one weekday is counted as "one business day".
Example:
If the move-in date is Thursday, October 31,
"1 business day prior" is Wednesday, October 30.
"10 business days prior" will be Thursday, October 17, excluding all Saturdays, Sundays and holidays (in this case excluding the 19th, 20th, 26th and 27th).

Re-reservation after a cancellation

Those wishing to re-reserve a unit after cancelling a confirmed("Notification of Permission for Residence" has been issued) reservation must observe the following three rules:

  1. New applications cannot be submitted until one month has passed from the original(cancelled) move-in date. Contact the International House Office after the same date of the following month of the original move-in date.
  2. The earliest possible move-in date for the re-reservation is two months from the original(cancelled) move-in date. However, the move-in date may vary depending on unit availability.
  3. Rules governing the "Application Period" also apply for a re-reservation.
